DUTIES AND RESPONSIBILITIES:

  • Concierge
    • Provides front desk coverage and greets and welcomes guests as soon as they arrive at the office.
    • Maintain office security by safety procedures and controlling access via the front desk (monitor logbook). And keep logs of all guest interactions and follow up as necessary.
    • Answering incoming and calling forward ; taking messages and redirecting calls as required.
    • Support all teams for mailing/courier to receive documents / goods and other deliveries. Including filling out any paperwork necessary for goods after receipt and ensuring no damaged items.
    • Arrange the meeting room and equipment ready to work.
    • Coordinate with the housekeeper for cleaning areas.
  • Collaborate with other teams
    • To list expected deliveries and verify packages according to order and invoices (quantity, quality, price etc.).
    • Contact supplier or shipper if a mistake is identified
    • Assume responsibility for returning unsatisfactory shipments or receiving replacements
    • Fixed asset management - information records and Tag Label
    • Support company internal activities with people team

KNOWLEDGE, SKILLS AND ABILITIES:

  • Proficiency with Microsoft Office (Excel, Word, PowerPoint).
  • Excellent communication and interpersonal skills for phone calls, writing capability for correspondence that needs to be sent internally and externally, and strong listening skills to follow instructions.
  • Strong organizational and multitasking abilities.

EDUCATION AND EXPERIENCE:

  • Fresh Graduate are welcome
  • Previous experience in an office admin or concierge role is preferred.

WORKING CONDITIONS & SPECIAL REQUIREMENTS:

  • Working office onsite 5 days a week (09:30 - 18:30)
